Customers fundamentally use the Regus app to book workspaces. We were tasked with redesigning this journey.

A few identified user stories and requirements were,

“As a customer, I want to..”:

  1. Book a workspace that accommodates my business or meeting needs

  2. Only see workspaces available to me at my chosen location

  3. Book a recurring workspace

  4. Know what promotional offers are available

  5. Add additional services to my meeting (i.e catering)

  6. Know everything about my location before I get there

Satisfying the first three requirements was crucial to getting customers through to ‘Payment’ as efficiently as possible.

Process Research & UX

I began with a focus on ‘meeting rooms’. Booking a recurring meeting over a period of time would present the highest-level of complexity - based on availability at the chosen location. We knew from qualitative research users have a preferred location and value consistency when planning meetings ahead. This was particularly true since the cost of a meeting room would fluctuate depending on the attributes of the room such as windows and square footage.

This booking journey would allow users to:

  1. Book up to 12 independent dates

  2. Book up to 12 recurring days, weekly

  3. Book up to 12 recurring dates, monthly

Once users had successfully chosen a location, input the number of attendees, specified dates and start/end times, we’d have all the criteria needed to run an availability check. The following logic would be applied to present users with the best offering, for example:

  • If 12 out of 12 bookings are available at the location, in the same meeting room, the user will only see this option (100% match).

  • If 12 out of 12 bookings are available at the location but in multiple meeting rooms (partial match), the user will see:

    • The same room available for 1-11 dates

    • Up to 5 combinations of multiple rooms available for all 12 dates

  • If 12 out of 12 bookings unavailable at the location, the user will see all their unavailable dates with the option to edit the dates or location.

All options whether the same meeting room or multiple, will be ordered by price; cheapest first.

The above logic allows us to preemptively cater to Regus customers’ needs, by presenting solutions to a probable outcome.
